Does Your Credit Union Have a Letter Production Process if You Go Virtual?

Mar 13, 2020

With the rapid spread of the novel Coronavirus, many credit unions are encouraging remote work. If your credit union produces member notices and letters in-house daily, and your staff is considering going virtual, how will that be managed?

I received a phone call from a credit union that I have been talking to for years about our services. They currently print many of their member documents in-house. These documents include necessary communications like Past Due, CD Maturity, and others. They wanted to know if we could quickly start producing their letters if they go virtual because of the Coronavirus pandemic. (We could.)

Daily letters and notices are often an afterthought in many credit unions, but they are very important to ongoing operational viability. Letters and notices might be the only way of reaching a large percentage of your members. That makes your communications a critical part of your connection to your members during this outbreak—and your members will appreciate knowing their finances are in order as parts of the economy slow as a result of this pandemic.

With strong USPS protocols and current recommendations for COVID-19, the U.S. mail will likely not be significantly impacted. At least, the operational parts of the USPS should be expected to continue service as usual. U.S. Mail processing doesn’t require a large number of people to have close proximity to each other.

You may not know, but XDI offers a unique, standardized, and heavily-automated product for producing and delivering letters and notices, and we work exclusively with credit unions. And like the USPS, we don’t require a large number of people to run our equipment. We can easily move our production from coast to coast if the need arises.

Considering the above, it makes sense to consider outsourcing your letter process to XDI.

While it is doubtful the USPS will be impacted with this pandemic, as your credit union reviews its pandemic procedures, I suspect you will want to consider increasing electronic delivery of documents. XDI can also deliver any document to your member right inside home or mobile banking.

Today’s pandemic is stressful. In our businesses, it causes us to revisit our processes. Companies have experienced this in the past. While it is always different, and devastating, we will get through it, learn from it, and implement improvements as a result.

We’d be happy to speak with you about how we can help you continue sending important member communications during this pandemic. Simply contact us to let us know what you need.

Sincerely,

Mike Hoog
